AI versus managerial chaos: Key trends in meeting automation and task tracking

A scientific and practical seminar organized by the “Intellect” Foundation on the role of AI in optimizing business processes was held at the Faculty of Artificial Intelligence, Lomonosov Moscow State University. In modern management practice, artificial intelligence can significantly transform teamwork management, make processes more transparent, and increase the effectiveness of meetings by automating routine operations and enabling smart task tracking.

According to Anton Konushin, Program Director of the “Intellect” Foundation, Deputy Dean of the Faculty of Artificial Intelligence, and Scientific Head of the MSU Research Center in the Field of AI, many teams still operate in a state of managerial chaos: decisions are not recorded, responsibilities remain “at the slide level,” and attempts to introduce clear rules and documentation often face resistance. At the same time, powerful specialized AI models for speech transcription and synthesis and document processing are already available on the market, and agent‑based work formats are also developing. According to him, the current challenge for businesses is to integrate these tools competently into the company’s organizational and management practices.

Ivan Yastrebkov, Head of the Research and Coordination Department at the Artificial Intelligence Development Center of Ingosstrakh Insurance Company, emphasized that AI itself does not improve processes but amplifies their inherent qualities — either order or chaos. He noted that before selecting AI tools, companies need to honestly document their current processes, eliminate redundancies, agree on rules, define a unified approach to handling tasks, and assign owners for each decision. Without this “boring, manual work,” even the most advanced AI tool will only accelerate existing problems rather than solve them.

Vitaly Perlukhin, Head of the AI Development Center at the IT company “Lotsiya,” described how the “Stroka” platform works: it turns verbal communication into manageable data by recording and transcribing meetings, identifying speakers, capturing decisions and assignments, and generating a protocol based on the discussion. He provided details on the transition from a demo level (“one model plus a prompt”) to a full product featuring a selection of ASR models tailored to specific data, terminology dictionaries, an agent‑based protocol, and a unified operational environment. According to Vitaly Perlukhin, the most critical issue today remains the level of trust in the final document.

Olga Migacheva, CEO of the ANO “NeuroZnanie,” presented an overview of the key trends in automating meetings and task tracking with the help of AI. In her assessment, most large Russian companies are still at the pilot and point‑implementation stage, while systemic projects remain rare. At the same time, the market already offers solutions that not only “listen” to meetings but also help manage the workflow after they end: they generate summaries, create tasks, assign responsible parties and deadlines, and integrate with trackers, calendars, and corporate messengers.

At the end of the seminar, participants received practical recommendations on preparing work processes for automation, got acquainted with specific examples of AI platforms and implementation cases, and had the opportunity to ask questions to developers and researchers.
